Case study · Operations

30–50% of the routine work, automated.

How a multi-entity group across three time zones cut the time spent on routine back-office work — with fewer errors and faster cycles — built and operated by RECLAIM on a long-term retainer.

The situation

A back office holding together by hand.

Three entities, three time zones, one team. A large share of every week disappeared into work that shouldn't need a human — reconciliations, status checks, reports, data entry, and the endless follow-ups. The close and the reporting dragged, and everything depended on people remembering to do it. Nothing was broken, exactly; it was just slow, manual, and fragile.

What we built

One routed system, with a human in the loop.

We mapped the work end to end, then wired the inputs the business already produced straight through to the outputs it needed — with checks, an audit trail, and monitoring at every step. Automation handles the repetitive part; people apply judgment where it matters.

How we measure

We baseline how long the work takes today — tracked over a real period, not estimated — then automate the repetitive part and measure again across several cycles. We report the conservative end of what we see, count only the routine work we actually automate (never whole roles), and where we can't measure cleanly, we don't put a number on it.

"We automate the repetitive part and keep a human where judgment matters — monitored, documented, and standing behind the result."
